Technology, love or hate it, but use
it!
What is the difference between a
'Cash Register' and a 'Point of Sale System'?
There are many similarities and some times the cost
difference between the two may seem not worth the investment.
After all, you can go to your local Sam's Club or office supply
store and pick up a Cash Register for under $200.00, but what are
you getting? Actually not more than if you used a calculator
and hand written receipts. A Cash Register will keep track of
your total sales, hold the money you receive, print a receipt for
the customer and MAYBE give you some limited reports such as the
total of sales for a specific period or type of tender.
A Point of Sale (POS) system on the other hand is
a Computer Program that has been specifically
written to perform a certain type of job and for a certain
industry. POS systems are unique for Retail, Restaurants,
Salons, Services and other specialty markets. There are as
many differences in what they do, as there are in types of software
packages available. The right POS for your business depends on
several things.
First the nature of your business. Are you
considered Retail? Do you sell specific types of items in a
limited variety? Do you have many things the same except for
size, color or other attributes? Do you sell items that come
in pieces and could be a 'kit'? Do you have Age Restricted items?
There are an unlimited number of questions, each unique to how you
do business.
Are you focused on Food? Is your business
primarily Carry Out or Quick Service? Are you more Fine Dining
than sit down service, full bar and maybe even entertainment?
Do you want to allow customers to Order on Line? Do you offer
Delivery? Again, unlimited choices that are unique to your
establishment.
So once you have decided what your business is, how do
you decide what you need for a Point of Sale system? And what can
you expect to get?
Any POS that you purchase should give
you the ability to run multiple reports and drill down to find out
what you're selling, when you're selling it (time of day to assist
in effective scheduling), who is selling it (your best sales
people), who your customers are, waste, distributor pricing, order
entry, journaling and much more. Hardware wise you must decide
on Touch or Non Touch. If you do retail and most of your items
are Bar Coded then you may be able to get by quite easily with a Non
touch system and a decent Bar Code reader. On the other hand
if you sell many items that are not Bar Coded or sell Food items
with modifiers- you will want a Touchscreen for SPEED and ease of
use. What about the computer? These days you have a
choice between Component and All-in-One systems. Components
are separate CPU and Monitor while an All-in-One is exactly that -
the CPU and the Monitor are joined as a single unit. Price
wise, the Component is less expensive, convenience wise, the
All-in-One offers simplified placement and ease of movement.
This is just a brief overview. Next time we'll get
into some of the other options.
